What Data We Collect

We collect information that you provide when contacting us or placing an order, including:

  • your name, phone number, email address, and messaging app contact details;

  • recipient details, delivery address, or Nova Poshta branch details;

  • order specifications, payment information, and correspondence relating to your purchase;

  • billing and business details required for invoicing or partnership arrangements, where applicable;

  • photographs, drawings, and other materials you provide for furniture selection, custom orders, or the handling of claims.

If you create a personal account, we also process the data necessary to operate your account and provide access to your order history.

When you visit our website, certain technical data may be processed, including your IP address, browser and device type, time of access, and information about technical errors.

We do not request PINs, CVV codes, or passwords for banking services. Information relating to the relevant payment is sufficient for payment confirmation.

If you provide the contact details of another recipient or customer, please make sure that you are authorised to do so and inform that person about this Privacy Policy.

How We Use Your Data

We use your data to:

  • respond to enquiries, assist with furniture selection, and prepare quotations;

  • confirm orders, issue invoices, and verify payments;

  • arrange production and delivery and provide updates on order status;

  • handle claims and arrange servicing;

  • work with designers and other partners;

  • operate and protect our website;

  • maintain records required by law and protect our rights in the event of disputes.

Data required to prepare and fulfil an order is processed in connection with entering into and performing a contract. Data required for statutory records is processed to comply with legal obligations. We may rely on legitimate interests to protect the website and prevent misuse, while taking your rights into account.

Where processing requires your consent, we obtain it separately. Simply visiting the website does not constitute consent to all forms of data processing.

Without the necessary contact or delivery information, we may be unable to respond to your enquiry or fulfil your order.

Who We Share Your Information With

We do not sell personal data. Access is limited to persons and organisations that require the information to process your order or support the operation of our website, including:

  • KAIZEN employees and engaged specialists — for consultations, order fulfilment, record-keeping, and customer service;

  • Nova Poshta or another agreed delivery provider — for delivery purposes, including the recipient’s name, phone number, address or branch details, and shipment information;

  • banks — to process, confirm, or refund payments;

  • hosting, email, and technical support providers — to the extent necessary to provide their services;

  • public authorities — where and in the manner required by law.

We share only the information necessary for the relevant purpose.

If you communicate with us through Instagram, Telegram, or another third-party platform, that platform also processes data in accordance with its own privacy policy. Certain technology providers may process information outside Ukraine. Such transfers are made only where permitted by applicable law and subject to appropriate data protection safeguards.

Cookies and Communications

Our website uses cookies to support essential functions, including the shopping cart, account login, and saving preferences. You can restrict or delete cookies through your browser settings, although doing so may affect certain website functions.

Information about the cookies and third-party tools actually used on the website is provided in our Cookie Policy and should reflect the website’s current configuration. Where consent is required for analytics or advertising tools, such tools are used only after consent has been obtained.

We send marketing communications only with your consent. You can unsubscribe by contacting us or by using the unsubscribe link where one is included in the message. Unsubscribing from marketing communications does not affect messages relating to an active order.

Photographs of private interiors, reviews containing personal data, and other materials that may identify a customer are published only with the customer’s consent.

How Long We Keep Your Data and How We Protect It

We retain personal data only for as long as necessary for the relevant purpose:

  • enquiries and correspondence — for handling your request and any agreed follow-up communication;

  • order data — for order fulfilment, warranty service, and the resolution of potential claims;

  • accounting and statutory records — for the periods required by law;

  • marketing contact details — until you unsubscribe or the relevant communications are discontinued.

Once the applicable retention period has ended, we delete or anonymise the data unless there is a lawful basis for retaining it for longer.

We restrict access to personal data and implement organisational and technical measures designed to protect it against loss, alteration, or unauthorised disclosure.

Your Rights and Requests

You may request information about the personal data we process about you, where it came from, why we use it, and who we share it with. You also have the right to:

  • access your personal data;

  • request the correction of inaccurate information;

  • object to processing or request the deletion of your data where there are lawful grounds to do so;

  • withdraw consent where processing is based on your consent;

  • lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights or apply to a court.

To exercise these rights, contact us at contact@kaizen.furniture, describing your request and providing contact details for our response. Where necessary, we may request information to verify your identity and protect your data from unauthorised access.

Withdrawal of consent does not affect the lawfulness of processing carried out before the consent was withdrawn. We may continue to retain certain information where necessary to comply with legal obligations or establish, exercise, or defend legal claims. We respond to requests within the time limits prescribed by law.

Updates to This Policy

We may update this Privacy Policy if our data processing practices or applicable legal requirements change. The current version will be published on this page. If a new use of your data requires your consent, we will request it separately.
